Delivery Coordinator - Syracuse Headquarters

Job Description: 

  • Receives sales order folder from Warehouse Manager confirming equipment ordered has been received and setup completed for delivery
  • Using Microsoft Outlook Calendar, initiate the process of scheduling the deliveries:
    • Review calendar period within first two weeks after receipt of sales order folder
    • Identify dates that coincide with driver availability within a defined geographic territory
    • Schedule Skype meeting with appropriate delivery contacts for either large sales orders or large production printers to confirm all aspects of delivery and setup tasks along with employee assignments.
    • Contact Client to schedule date and arrival time for delivery.
    • Confirm with Client any obstacles to equipment delivery at arrival time (unloading area, stairs versus elevator, etc.)
    • Generate Outlook Calendar file (.ics) and send as email attachment to appropriate internal and external contacts
    • Print a copy of all required delivery documentation and submit to delivery driver for Client signature.
    • Receive and route signed delivery documentation to Contracts department
  • Complete other tasks assigned by Manager
  • Engage in additional ongoing training assigned by Manager

Qualifications/Competencies/Position Requirements:

  • Minimum one year experience in a similar work environment.
  • Ability to prioritize and multitask assigned issues in a fast paced work environment
  • Proactive attitude of customer service and integrity.
  • Minimum typing skill of forty words per minute.
  • Excellent phone, email and chat communication skills
  • Knowledge of Microsoft Office and ticketing system applications
  • Demonstrated problem troubleshooting, root cause and resolution skills
  • Travel approximately 5% per month within New York State, if needed.
